City Selection Requirements

  • Evidence that the city has the facilities to accommodate the meeting and exhibit needs, as well as the number of projected attendees for 2023.  The city under consideration should be able to house the event’s hotel room block at no more than two (2) hotel facilities within a 3-block radius. Facility must be completed at least 24 months prior to the conference.
  • Preference will be given to hotels that can house the entire conference under one roof. (Welcome Reception is typically held offsite).
  • Convention centers will be considered only when easily accessible from the conference hotel(s). Conference events cannot be hampered by distance and weather conditions.
  • A meeting location which has interesting restaurants, shops, sports facilities, historical points of interest, and area attractions within walking distance. Opportunities for attendees to extend their stay before, or after, the conference is important.
  • The city should be reasonably affordable, including transportation, lodging, meals and entertainment.
  • Travel accessibility is a consideration for national and international members. Frequent air service to the city from various major hubs is essential. We prefer that the airport be no longer than a 30-minute ride to the hotels under normal traffic conditions. Easy and reasonably priced transportation within the city and to and from the airport is essential.

Hotel/Convention Center Requirements

  • Headquarters hotel able to commit at least 650 guest rooms per night on peak nights, if held in one hotel.
  • If more than one hotel is required, headquarters hotel should be able to commit at least 650 guest rooms per night on peak nights, and overflow hotel to accommodate a minimum of 175 guest rooms per night and must be within a one block walking distance of the meeting facility or headquarters hotel. Rate to be slightly lower than HQ.
  • IAAO is the only large group in the hotel and/or facility.
  • All meeting, exhibit and food & beverage needs must be handled under one roof or connecting facility.
  • 28,000 sq. ft. ballroom for General Sessions – including Opening Ceremony and Business Meeting (Mon AM) Awards Program & Lunch (Mon 12N), Plenary Sessions (Tue & Wed AM) and Closing Banquet (Wed PM).
  • Minimum of 40,000 sq. ft. ballroom or exhibit hall for (75) 10 x 10 exhibit booths, as well as breaks, luncheons & Cyber Lounge.
  • Eight (8) concurrent breakout rooms for education tracks at 2,400 sq. ft. each.
  • Eight (8) additional rooms for office, storage, volunteer break room, committee meetings, etc. at various sizes to use from Thursday-Thursday.
  • Foyer or pre-function area to handle ten (10) six ft. registration counters with headers as well as the IAAO Booth (20’x30’)
  • Handicapped accessibility, parking and on-site food & beverage outlets.

Food & Beverage and AV Budget Estimates

  • Food & Beverage: $300,000 for coffee breaks, luncheons, receptions, Awards Lunch and Closing Banquet held at hotel/facility.
  • Welcome Reception (may be held off-site): approximately $65,000.
  • A/V budget: approximately $80,000.
  • IAAO relies on sponsorships to fund many of its food and beverage functions.
